Providing resources to facilitate proper and timely reporting of equipment transactions and safeguard against loss.
Our campus cannot function without equipment, such as copiers, microscopes, and computers. To assist the campus with overseeing its property, the college has designated equipment coordinators within each department.
Although equipment coordinators are charged with performing the inventory of such items and other assets, we all have a responsibility to communicate changes about campus property.

- Equipment Coordinator’s Role
The equipment coordinator plays an important role in each department by:
- Ensuring the location of department equipment.
- Performing a physical inventory.
- Keeping the property control coordinator informed of changes to property inventory, such as a new purchase, transfers, surplus, or disposal of equipment.
- Locate an Equipment Coordinator
To assist the campus with overseeing its property, the college has designated equipment coordinators within each department.

- What form do I use for moving property/equipment on campus?When moving a piece of property or equipment on campus, please work with your equipment coordinator to complete the RAM Asset Relocation Form.
- How do I dispose of old equipment when it has a RAM Asset Tag?
Make certain the equipment is no longer required by this department and the department declares that property does not contain hazardous waste, pesticides, or radioactive materials.
Complete one of the following forms and send to the property control coordinator (PCC).
Electronic Equipment Disposal Form — For equipment with electronic memory.
RAM Asset Disposal Form — Any equipment that does not have an electronic memory.Upon receipt of the complete form, the property control surplus coordinator (PCSC) will coordinate the pick-up of the item. If the item is not in poor/scrap condition the PCSC will put the item on a SUNY list serve to see if another campus wants it and if not, the item may be put onto GovDeals to sell.
Departments cannot directly sell any equipment.
Any questions about this process should be directed to the PCC.
- Can I accept a gift/donation to a department?Yes, but before accepting a donation/gift to a campus department, you must follow the campus policy for accepting the item(s) first.
- I am no longer an Equipment Coordinator, who needs to know this?Please contact the PCC. If you know the replacement person, this should be shared with the PCC so that the listing of equipment coordinators can be updated and the person can receive training.
- How do I get a RAM Asset Tag on a piece of equipment?
Not all equipment receives a tag. RAM Assets received by the warehouse will be tagged upon delivery. For assets received by the department directly, please contact the PCC for instructions.
- Why is the High Risk equipment log important?
“High risk” means the item has a high possibility to be stolen such as a digital camera. If the equipment item is stolen or comes up missing, this log will assist in knowing the make/model and serial number, etc. This information will be helpful for the department when contacting University Police to assist in locating this asset.
- After an exhaustive search, I still cannot locate an equipment item. Now what?
Let your supervisor and/or management know the details of what is missing. Also contact University Police and the property control coordinator.
If possible, look at your department inventory list to have specific information on what is missing in detail such as make, model, manufacturer, serial number and location of item and more.
- How do I get the list of my department’s equipment on inventory?Obtain your inventory by contacting the property control coordinator.
- What do I do when the RAM Asset Tag is difficult to read, damaged, or missing?The property control coordinator can assist you with obtaining a new tag.
- Who handles issues with campus owned furniture?The property control surplus coordinator (PCSC) can assist you with any issues with campus owned furniture.
