    The Space Management Policy has been created under the guidance of the SUNY Facility Programming Standards Policy, the SUNY Minor Critical Maintenance Procedure. The following policy governs the use, review and reassignment of physical space on the main campus. The Space Management Policy and process is a strategic and purposeful approach to guide our internal planning and inform requests for additional capital funds.

    Our goal is to assign space to obtain the full value of our physical space inventories within our facilities. We view space assignments as dynamic and temporary, as the optimum use of space may change as priorities change. The university has the authority to allocate space specific to users for certain periods of time, review allocations periodically, assess utilization and reallocate space as needed to support the university goals and objectives. 

    To manage requests a ticketing system has been created with a workflow to manage each request from the initial request stage to final approval. Space management, including reallocation and reassignment of space is guided by a ticking request process managed by the Space Planning Committee. The Space Planning Committee, chaired by the Assistant Director of Facilities, will actively assess space needs across campus in a transparent and equitable manner. The request process has multiple tiers of review and in some cases approval by the President's Cabinet will be required. Requests are reviewed in partnership with the requestor and the Space Planning Committee members. A scope of work and budget of estimated costs are prepared by the Space Planning Committee. Initial requests are approved by the Dean or Department Head, division Vice President and the Space Planning Committee. Requests with an estimated budget above $0 will be reviewed for final approval by the President’s Cabinet.
