Course & Program Change Procedure Policy


Outlines the steps for establishing or changing courses, minor programs or major programs.

  • 7.0 Procedures

    1. A course, minor program, or major program proposal or change, approved at the department level shall be reviewed by the Dean and submitted to the School's Course and Program Review Committee.

    2. New or revised Courses: Following departmental review, proposals for new courses or revisions to existing courses shall be reviewed by the School’s Course and Program Review Committee and approved by the Dean. The courses shall be forwarded to Academic Affairs for review and implementation. If concerns regarding implementation are identified, Academic Affairs shall notify the Dean and department chair. Upon final approval, course changes shall be processed by the Registrar’s Office and incorporated into the official academic catalog, as appropriate. Additional approval is required for those courses that are going to be designated general education or writing across the curriculum.

    3. Revised Programs: Following departmental review, revised program proposals shall be reviewed by the School’s Course and Program Review Committee and approved by the Dean. Approved program revisions shall be forwarded to Academic Affairs for review. If concerns regarding implementation are identified during the review process, Academic Affairs shall notify the Dean and department chair. Approved program revisions shall be reviewed by the Faculty Curricula and Program Committee and Faculty Senate Resources and Planning Committee before consideration by the Faculty Senate. Following Faculty Senate approval, program revisions shall be submitted to the President for approval. Upon presidential approval, Academic Affairs shall determine whether the program revision requires external approval and shall coordinate submission to SUNY and/or the New York State Education Department (NYSED), as applicable, in accordance with current requirements. Program revisions not requiring external approval shall proceed directly to implementation. 

    Upon receipt of all required approvals, program revisions shall be processed by the Registrar’s Office and incorporated into the official academic catalog, as appropriate.

    Program revisions shall be reviewed through the established curriculum approval process and routed as follows:

    1. Chair of Department
    2. Dean 
    3. School’s Course and Program Review Committee
    4. Dean 
    5. Academic Affairs
    6. Faculty Senate Curricula and Program Committee
    7. Faculty Senate Resources and Planning Committee
    8. Faculty Senate
    9. Academic Affairs
    10. Registrar Processing
    11. Catalog Processing

    4. New Programs: The Dean should be informed early in the process when a department/center plans to develop a new major or minor program. The Dean shall consult with Academic Affairs and advise the unit during development of the proposal. If concerns regarding implementation are identified during the review process, Academic Affairs shall notify the Dean and department chair.

    New program proposals shall be reviewed by the School’s Course and Program Review Committee and approved by the Dean. Approved proposals shall be forwarded to Academic Affairs for review. New program proposals shall be reviewed by the Faculty Senate Curricula and Program Committee and Faculty Senate Resources and Planning Committee before consideration by the Faculty Senate. 

    Following Faculty Senate approval, new program proposals shall be submitted to the President for approval. Upon President’s approval, Academic Affairs shall coordinate any required external review and approval in accordance with current SUNY and NYSED requirements. New minor programs do not require SUNY and NYSED approval and shall proceed directly to implementation. 

    Upon receipt of all required approvals, new programs shall be processed and implemented through the appropriate institutional processes, including Registrar processing, admissions processing, and catalog processing, as appropriate.  

    New program proposals shall be reviewed through the established curriculum approval process and routed as follows:

    5. Official Records: Registrars office shall maintain an official file of all approved programs and courses.
