Step-by-Step Process
- Read the Search Process Manual. Note: this document requites Acrobat Reader, which is available as a free download.
- The entire search committee convenes to meet with the hiring authority and with the
department chair/unit supervisor BEFORE the ATR is submitted, to:
- Generate the list of places the search will be advertised, the recruitment sources; and
- Finalize the job description and the lists of required and preferred qualifications.
- Online Authorization to Recruit is submitted by department, dean or vice president.
- When AAO notifies search chair that the ATR is at AAO review, chair convenes meeting
of entire search committee and AAO to:
- Review affirmative action principles and requirements; and
- Finalize the recruitment plan.
- (For professional searches) After the 10-day period specified by the Plan for Internal
Professional Promotions, search chair convenes the committee to review internal applicants,
if any. Recommend to HA either:
- Interview internal applicants before reviewing external applications; or
- Place internal applicants in larger pool.
- After the soft deadline, entire search committee convenes to review all applications:
- Determine who is minimally qualified and who is not;
- Determine who will be recommended for a phone interview and who will not—and why.
- Search chair DOCUMENTS the decisions, applicant by applicant, saying why each is qualified
or not (specifically what each unqualified applicant is missing).
- That document is uploaded to ORS.
- Statuses of applicants are changed on ORS.
- Search chair DOCUMENTS why some of the qualified candidates are getting phone interviews
and others are not, applicant by applicant.
- That document is uploaded to ORS.
- Statuses of applicants are changed on ORS.
- Status of the search is updated on ORS. Note: This is what notifies the HA and the AAO that there is a recommendation to approve.
- WAIT for a message from ORS that the telephone interviews are approved.
- When AAO and HA (both) approve the phone interviews and the search chair has received an approval email from ORS, the interviews are arranged and conducted, and the results documented.
- Reference checks may be conducted and the results documented and uploaded to ORS.
- Committee recommendations about campus interviews are documented. For each applicant
telephoned, explain why s/he is or is not recommended for a campus visit.
- That document is uploaded to ORS.
- The statuses of applicants are updated on ORS.
- The status of the search is updated on ORS. Note: This is what notifies the HA and the AAO that there is a recommendation to approve.
- WAIT for a message from the ORS that the campus interviews are approved.
- After approval by both HA and AAO and search chair has received an approval message
from ORS, campus visits are arranged and interviews conducted, the results of which
are documented with a listing of strengths and weaknesses.
- That document is uploaded to ORS.
- The statuses of applicants are updated on ORS.
- The status of the search is updated on ORS. Note: This is what notifies the HA and the AAO that there is a recommendation to approve.
After HA has made the hire, search chair completes the search checklist online or in hard copy and updates the status for any remaining candidates. This must be done before the hire will be approved by the AAO.
