Procedures for Moving Off Campus

For the Fall Semester

Requirements

All students are required to live on campus unless they meet one of the following criteria:

  • Have already lived on a college campus for 4 semesters
  • Are 21 years of age by October 1 of that Fall semester
  • Are commuting from their home address (within 60 miles of campus)
  • Are commuting from the address of an IMMEDIATE Relative (within 60 miles of campus)
  • Are married

If you do not meet any of the criteria above, you may want to apply for a "Special Exception To The On-Campus Requirement Based On Need."

For Review of Special Need

  1. Submit a letter explaining why you need an exception.  Verification and/or support will be necessary (i.e., medical need requires a doctor's letter or Student Health Center, financial need requires verification from the Financial Aid Office or a parent letter showing need or possibly recent changes in financial situation).  Students who are under 21 years of age MUST have a letter of parental support before we will consider your request.
  2. Include your campus address and phone number (and Banner ID Number if financial).
  3. Our fax number is (518) 564-3817 if parents or physicians would like to send support or verification by this means.

For the Spring Semester

Please note that all students who are currently residing on campus have signed a full year license agreement (August-May). To apply for a "Special Exception" to break your agreement half-way through the school year based on need, please see instructions below:

  1. Submit a letter explaining why you need an exception. Verification and/or support will be necessary (i.e., medical need requires a doctor's letter (or health services), financial need requires verification from the Financial Aid Office files or parent letter showing need and if appropriate, recent changes in financial situations).  Include your campus address and phone number (and Banner ID Number if financial).
  2. Students who are under 21 years of age MUST have a letter of parental support before we will consider your request.

Our fax number is (518) 564-3817 if parents or physicians would like to send support or verification by this means.

A cancellation fee is in effect for those receiving approval. Please download Housing Manual for details. (Note: this file requires Microsoft Word.

Moving Out of the Residence Hall Mid-Semester

Residents who are officially released from residence, withdraw or are released from the University must notify their Residence Hall Director and check out with the Secretary in the Housing and Residence Life Office. This process should be completed within 24 hours after the change in status takes place. The check-out procedure is important since it permits residents to clear their hall obligations and insures the processing of refunds when appropriate.

The check-out procedure consists of:

  1. Notifying the Academic Advising Office if you are withdrawing or requesting a leave of absence.
  2. Completing of your Room Contents Record by you and your R.A.
  3. Signing out at the Housing Office which includes submitting a forwarding address. Note that mail will be forwarded for 60 days.
